For a birthday or anniversary charter in Dubai, check the guests’ boarding requirements before relying on the party plan. An invitation list tells you whom you would like to attend. The operator still needs to explain which documents each person must present, when the final number is due and how a change would be handled.
Start with the actual charter operator and booking you are considering. The published examples below were checked on 22 October 2026. They illustrate specific operators’ instructions; confirm the current requirements for your own booking.
Read the chosen operator’s document instructions
Xclusive Yachts’ terms ask tourists for a passport copy and UAE residents for Emirates ID. The same passage asks guests to keep their ID copy on their phone. Its separate guest-number clause requires the final total on the previous evening and says it cannot increase on the day.
The Prince Charles Yacht FAQ, for its Dubai Marina Harbour operation, says each party member must show Emirates ID or a passport copy to the captain before boarding. Its late-arrival guidance also says arriving late does not extend the scheduled time.
Use the wording from the operator you choose. This guide is not an independent statement of UAE identification law, and one operator’s document instructions or deadline should not be assigned to another.
Resolve a document question before departure day
Tell guests where to find the chosen operator’s instructions. Ask each person to check that they can provide the stated document in the required form. If someone is unsure which instruction applies to them, direct that question to the operator.
For example, a guest might have a different document from the one described on the booking information. Ask whether it is acceptable before treating that guest as ready to board. A host’s assumption cannot settle the operator’s answer.
Keep the planning note limited to readiness status and outstanding questions. Guests should follow the operator’s agreed process for presenting or supplying documents. This guide does not ask anyone to send passports to Lunar Moments or add identity-document copies to a shared party spreadsheet.
Distinguish invitations from the final accepted number
Ask the operator to confirm the passenger limit for the actual booking, how it counts everyone you propose to bring, and the deadline for final numbers. A general vessel listing or an initial invitation count should not stand in for those answers.
Where Xclusive’s published clause applies, the previous evening is the stated final-number point, with no increase on the day. Ask the operator to clarify the practical submission time and process for your booking. Do not turn “the night before” into an invented clock time.
In a fictional example, a friend asks to join after the organiser has submitted the final count. The organiser refers the request to the operator and waits for the actual answer before inviting the friend to board. The example establishes neither spare capacity nor a right to change the booking.
Give guests the actual reporting instructions
Obtain the operator’s meeting point, requested reporting time and contact for a problem on the day. Send those details with the full Dubai local date. Keep the operator’s reporting instruction separate from the departure time printed on an invitation.
If a guest expects to be late, use the chosen operator’s contact process. Prince Charles’ published no-extension wording is a concrete reason to resolve this before relying on extra time; it does not establish what another operator will do.
The guest-arrival guide covers the separate journey and host-greeting plan. Here, the key question is whether the intended party can meet the charter’s actual boarding conditions.
Keep one boarding-readiness note
Use these fields for the booking you select. Leave an answer open until the operator or guest has actually supplied it.
- Charter reference: operator, selected booking and full local date.
- Final number: operator-confirmed limit, submitted count, deadline and submission method.
- Document readiness: each guest knows the applicable requirement; any unanswered question is identified without copying their document.
- Reporting: actual meeting point, reporting time and agreed operator contact.
- Changes: the operator’s answer to any extra-guest, missing-document or late-arrival question.
Keep any separate decoration purchase clear
A charter’s boarding arrangements do not agree a separate decoration job. If you are also considering a land-based birthday greeting, Lunar Moments’ Happy Birthday Balloon Bouquet lists a personalised 36-inch statement balloon, nine helium balloons and trailing satin ribbon. That composition does not establish onboard suitability, yacht delivery or outside-decorator permission.
Discuss a separate decoration request with Lunar Moments using the exact location and items you have in mind. The operator references here do not imply a Lunar partnership. Use the quote guidance to agree the actual decoration scope and terms; an enquiry or quote does not confirm a booking.
Charter guest-readiness questions
Does Xclusive’s final-number deadline apply to every Dubai charter?
No. It is that operator’s published clause. Obtain the current deadline and change process for your selected operator and booking.
Does this guide ask me to send guest identity documents to Lunar Moments?
No. Follow the charter operator’s agreed document process. A host’s planning note can record readiness and unanswered questions without holding copies of guests’ identity documents.
Will a late arrival extend the charter?
Prince Charles’ FAQ says its scheduled time is not extended for lateness. Check the actual late-arrival terms and contact instructions for the operator you book; no extension is promised here.
