A birthday reveal can involve two different arrival plans: guests travelling to the celebration and a decoration team entering the venue to prepare it. Keep them separate. A guest's expected journey does not confirm that the display is ready, and an agreed setup window does not tell guests how to reach the right entrance.
Start with the venue you have actually agreed to use. Then give the host a clear greeting plan while each guest checks their own journey and the decorator confirms its access arrangements separately.
Confirm the destination before sharing an arrival time
Ask the venue which entrance or meeting point guests should use for your booking. Check whether the person greeting them will be at that point or somewhere inside, and give them an agreed contact for questions.
A venue name alone may not explain where your gathering is. Keep the useful instructions together: the actual meeting point, requested arrival window and host contact. Ask the venue to resolve any unanswered location question rather than expecting guests to work it out from the decoration photograph.
Let guests check their own dated journeys
The official RTA Wojhati journey planner provides origin, destination, date and time inputs, with a choice of planning to depart or arrive at a specified time. Guests can use it when checking their own journey to the agreed destination.
Send the celebration's full Dubai local date and requested arrival time, rather than a general instruction to “come after dinner”. Let each person choose and check their journey. You do not need to collect everyone's starting address or private itinerary to give them clear meeting instructions.
Keep journey plans provisional where necessary. This guide does not supply travel durations or promise that a particular arrival will happen on time.
Give the host a greeting and late-arrival contact plan
Name the person guests can contact if their plans change. Ask that host how a later arrival should join the gathering, rather than assuming a reveal or a meal will be held for everyone.
For a fictional example, an organiser might ask guests to contact a friend hosting the greeting if they expect to miss the requested window. The friend can discuss the actual situation with the organiser. That is a proposed communication plan, not a transport guarantee or a promise that any supplier will wait.
Keep the decorator's access on its own track
Pass the venue's actual supplier instructions to Lunar Moments and ask about the setup arrangement it can agree. Identify who authorises access, who receives the team and who confirms the decoration is ready.
If guests may reach the meeting point before that confirmation, ask the host and venue what greeting arrangement they can agree. Keep the answer with the plan. Do not assume that an early guest can grant supplier entry or that the decorator manages arriving guests.
A two-track arrival worksheet
| Decision | Guest and host track | Decoration access track |
|---|---|---|
| Place | [Venue-confirmed guest entrance/meeting point] | [Venue-confirmed supplier reporting point] |
| Date and window | [Full Dubai local date and requested guest arrival] | [Requested setup access, then actual agreed answer] |
| Responsible contact | [Host greeting guests and receiving updates] | [Authorised access contact and setup-ready confirmation] |
| If plans change | [Who guests contact and how later joining is discussed] | [Who asks about revised access or timing and records the reply] |
| Open detail | [Meeting instruction still to confirm] | [Supplier or venue question still unanswered] |
Keep one current version with the organiser. When a detail changes, send the complete revised instruction to the people affected, with proposed and agreed arrangements labelled clearly.
Add the product once the venue plan is clear
The Happy Birthday Balloon Bouquet lists a 36-inch personalised “Happy Birthday” balloon and nine helium balloons, with a custom-message option and colour themes. Use the exact product in your enquiry and ask how the arrangement would relate to the permitted display area.
Ask Lunar Moments about the birthday display with the venue instructions, requested date and open access questions. Confirm the design, scope, setup or delivery arrangements, total quote and booking terms. The host remains responsible for their guest plan; an enquiry or quote does not confirm a booking.
