Before arranging a birthday or anniversary room surprise, ask your Dubai hotel what it will allow for your particular reservation. A useful reply should help you understand the decoration permission, how an outside team may enter and which room rules the setup must follow.
You do not need to know every decorative detail before making that request. Describe what you are considering, ask the practical questions below and keep the reply to share with Lunar Moments.
A hotel permission request you can copy
Send this directly to the hotel through its usual guest contact channel. Replace the brackets and remove anything that does not apply. If you are arranging the surprise for someone else's stay, ask the hotel whose authorisation it needs.
Hello, I am arranging a [birthday/anniversary] room surprise for a stay booked under [booking name], from [check-in date] to [check-out date]. The proposed decoration date is [full date].
I am considering [brief description, such as helium balloons, number balloons or a letter banner], with [any proposed petals or other items]. I would like to use an outside decoration team, Lunar Moments.
Could you please confirm:
- Whether these decorations and an outside decorator are permitted for this reservation.
- Who must authorise room access and how that permission should be recorded.
- The permitted setup window in Dubai local time, including whether access before guest check-in is possible if needed.
- Where the team should report, whether an escort is required and any supplier information you need beforehand.
- Any restrictions on placement, ribbons, wall attachments, petals or moving furniture.
- What must be removed afterwards and any hotel conditions or charges I should check.
Please let me know the right contact for coordinating the agreed access. This is a surprise, so I would prefer planning updates via [private contact method]. Thank you.
Read the reply for permission, access and restrictions
Look for an answer to each part of your request. A short reply may be encouraging while leaving the practical arrangements unresolved. The examples below are illustrative, not statements from any hotel:
- “Balloons are fine.” Check whether that also covers an outside team entering the room and your proposed placement.
- “Please coordinate with reception.” Ask who will confirm the arrangement and what reception needs before the team arrives.
- “Subject to room availability.” Ask when access can be confirmed. Keep any pre-check-in setup plan provisional until that point.
Also check that the reply relates to the correct reservation, decoration date and proposed items. If you requested several things and the hotel has answered only one, follow up on the unanswered points. Ask for a clear written summary you can pass on, rather than expecting the decorator to interpret a vague message on arrival.
If the hotel sets conditions or says no
Separate a restriction on one item from a refusal of the whole setup. If the hotel rules out wall attachments, for example, ask whether it permits an arrangement without them. If petals are restricted, ask about leaving them out. Then ask Lunar Moments whether the revised idea is practical and what it would include; do not assume a substitution is available.
If outside decorators are not permitted, ask the hotel what options it allows. Share that answer with Lunar before proceeding. Avoid making a plan that relies on access the hotel has declined.
What to pass to Lunar Moments
Share the hotel name and area, proposed date, decoration idea and the relevant hotel reply. Highlight the access window, permission contact, arrival instructions, room restrictions and removal requirements. Keep unresolved questions visible too: “permission pending” is more useful than a general “the hotel should be fine”.
If the hotel requests supplier details or documents, pass on the exact request so Lunar can check it. Agree any necessary private exchange of room or reservation details with the hotel and team. Keep your room number out of public enquiry forms.
Hotel permission is one part of the arrangement; it does not confirm Lunar's date capacity or your booking. Our hotel access and quote FAQs explain what still needs confirming before you commit.
Have a hotel reply ready, or a specific access question to resolve? Ask Lunar Moments about your hotel decoration plan and include the relevant details above.
