How to agree collection of hired baby shower display items

Baby Shower Welcome Sign & Balloon Display catalogue illustration

Agree hired-item collection before the baby shower, while the host, venue contact and supplier can still make one clear plan. Identify exactly what is hired, who will look after it after the event, the proposed handover window and how the return will be acknowledged. Keep ownership questions open until the supplier has answered them.

For a celebration at home or in a Dubai venue, this small handover plan helps the person closing the event know what to do after the guests have left. It is separate from choosing the sign wording, colours and display position.

Start with the item that is explicitly hired

Lunar Moments’ Baby Shower Welcome Sign & Balloon Display lists a personalised welcome sign, easel hire and a balloon garland arch. The easel is explicitly described as hired. That does not establish whether the sign or any other part of the display must also be returned.

Ask the team to identify each item’s status in writing: hired and to be returned, supplied to keep, or still to be confirmed. Include any additional items agreed in your own quote. A photograph of the whole display cannot tell the person clearing the room which parts belong to whom.

If you are still deciding the display itself, use the baby-shower welcome display guide first. The checklist here deals with the end-of-event handover.

Use an item-by-item handover card

Keep this card with your event notes and share the agreed version with the person who will be present afterwards. Leave the ownership and return fields unanswered until confirmed; the example row identifies the listed hire item without inventing its hire terms.

Baby-shower display handover card: complete from your agreed quote
Field What to record
Event reference Full event date, location and the quote or booking reference actually supplied.
Hired item Easel: listed as hire. Record the agreed quantity and any item identifier.
Other display parts Sign, balloons and any additions: ask which are to be kept, returned or otherwise dealt with.
Condition record Any existing marks noted at receipt and the agreed way to record condition at handback.
Handover window Supplier-agreed collection or return date and time in Dubai local time.
Receiving contact Named person available, agreed meeting point and contact route.
Access and interim location Property instructions and the location agreed with the supplier if items remain after the event.
Acknowledgement Items handed over, any open point and the acknowledgement actually received.

Separate the event finish from the collection time

State when the celebration ends, when the room must be clear and which collection window you are requesting. These may be different times. Ask the supplier what can be agreed rather than assuming that finishing the event triggers immediate collection.

If the venue needs the room cleared before the requested handover, ask both the venue contact and the supplier how that gap should be handled. Do not promise that reception will store an easel, that a family member will transport it or that the supplier can return the following morning without their agreement.

For an illustrative plan, the host may leave before the venue closes. A second organiser could handle the return, but only after that person accepts the role and knows which items are involved. Write the handover contact into the plan; “someone from the family” leaves the decision unfinished.

Agree condition records without collecting guest information

Ask whether the supplier wants an item list, photographs or another record at receipt and return. If photographs are useful, frame the display items and relevant details, avoiding guests, personal paperwork and unrelated room contents. Record any concern promptly through the agreed contact route.

A condition photograph is not by itself proof that the item has been collected. Keep the handover time, item list and acknowledgement together. If an item or condition point remains disputed or unclear, record that fact rather than marking the return complete on everyone’s behalf.

Ask what, if anything, you are expected to prepare before collection. Do not assume you should dismantle the display or separate its parts. The product listing does not provide a customer dismantling method.

Ask about the terms that the catalogue does not settle

Confirm the hire period, collection or return responsibilities, any deposit or charges, the process for a changed collection time and any condition-related terms. These are questions for your actual arrangement; this guide supplies no standard fee, grace period or return policy.

Keep those answers with the final quote and use one shared version of the handover card. If another family member takes over, send the agreed details rather than an older screenshot with an unconfirmed collection time.

Our baby shower is on [date] at [area or venue]. Please confirm which display items are hired and must be returned, including the easel, and which items we keep. The event ends at [time] and the room needs to be clear by [time]. Could you confirm the hire period, collection or return arrangements, any charges or condition terms, and what we should prepare? Our proposed handover contact is [name].

Ask Lunar Moments to confirm your handover plan. Include collection and removal questions when agreeing the full quoted scope, rather than leaving them until the event has ended.

Hired-item collection questions

Does easel hire mean the welcome sign must be returned too?

Not necessarily. The listing explicitly names easel hire, but it does not settle ownership of every display part. Ask which items must be returned and record the answer item by item.

Is collection automatically included at the event’s finish time?

Do not assume it is. Agree the collection or return scope, date, time, access and any charges with the supplier, keeping the venue’s clearance deadline separate.

Should the host dismantle the display before collection?

Ask the supplier what preparation, if any, is agreed. The product listing does not establish a customer dismantling method or assign that responsibility to the host.
