To compare office celebration quotes, put each proposal against the same written request: the items and quantities, requested customisation, delivery and setup scope, any collection arrangements and the total payable. Mark anything unstated as an open question. A lower headline figure cannot tell a procurement team whether two suppliers have priced the same job.
For a Dubai workplace event, keep one quote-comparison sheet beside the creative brief. The event organiser can describe the desired display; procurement can then check what is actually being purchased and who can approve it.
Write the purchase scope before comparing totals
Name the occasion, full date, office area and intended display positions. Attach a numbered item list rather than relying on a reference photograph. If the image shows a reception display, table decorations and a backdrop, identify which of those you are requesting.
Use the same wording and layout information for each proposal you compare. If one supplier has been asked for three display points and another has been asked for one, resolve that difference before using the totals to make a decision.
The office celebration brief helps your organiser agree the occasion, location and wording. This procurement worksheet begins once those requirements are clear enough to describe.
Translate the catalogue into line items
For a concrete reference, Lunar Moments’ Corporate Balloon Bouquets & Letter Display lists three helium balloon bouquets with ten balloons in each, a custom foil letter balloon display and balloon weights. The listing offers customisation of colours, foil letters, logos and branding; confirm the requested version and its quoted cost.
Record “three bouquets, ten balloons per bouquet” rather than shortening it to “30 balloons”. The shorter description loses the grouping you are asking the supplier to provide. Likewise, a foil letter display needs the actual requested wording, not simply “company branding”.
Keep charges tied to the chosen product and proposal. For example, the separate Branded Balloon Columns listing states that personalisation is charged separately depending on the design. Do not assume that qualifier defines every other product, or that customisation mentioned elsewhere is automatically free.
Copy this procurement comparison sheet
Complete one quoted column for each proposal. The final column should show the question to resolve, rather than silently filling a gap with an assumption.
| Line | Your request | Written quote says | Question or decision |
|---|---|---|---|
| Display items | Item names, quantities and number of positions. | Copy the actual included list. | Does it match the requested grouping? |
| Wording and branding | Exact text, logo version and requested colours. | Record included customisation and any separate amount. | Who approves the design and cost? |
| Delivery | Address, floor and requested arrival window. | Record the quoted scope and charge treatment. | Are any access-related questions unresolved? |
| Setup | Proposed position and required ready-by time. | Record what setup work is agreed. | What information does the supplier still need? |
| After the event | Requested removal, collection or hired-item return. | Record included, separate or unquoted arrangements. | Which items and responsibilities remain open? |
| Total and terms | Your approval requirements. | Total, exclusions, applicable tax treatment, validity and payment terms as actually stated. | What needs written clarification? |
| Authorisation | Named budget and event approvers. | Quote reference and version. | Which exact version is approved? |
Resolve differences without inventing an equal scope
Imagine an illustrative comparison in which one proposal clearly lists delivery and setup while another gives an item price without explaining either. Mark the second proposal’s delivery and setup as “not stated”. Ask for clarification; do not enter zero or treat those services as excluded unless the supplier has said so.
If an alternative is proposed, describe what changes: quantity, wording, display position or customisation. Ask the organiser whether that alternative still meets the event’s purpose. Procurement should not approve a materially different display simply because both proposals use the word “balloons”.
Also keep building acceptance separate from purchasing approval. An approved budget does not settle property access or the display position. Have the workplace contact confirm the relevant arrangements and pass the actual answers to the supplier.
Record the version that was approved
Before committing, reconcile the final quote with the worksheet. Save the quote reference, revision date, item list, total and the internal approver’s decision together. Ask what happens if the requested scope or date changes; use the actual agreed terms rather than copying another supplier’s conditions.
Please quote for [event] on [date] at [office area]. Our requested items and wording are attached as version [reference]. Please identify the quantities, customisation, delivery, setup, any collection or hire arrangements, exclusions and total payable. Please also state the quote’s validity and applicable payment terms, and flag any information needed before you can confirm the scope.
Send Lunar Moments your purchasing brief. The quote guidance explains the scope to agree. Availability, access and booking terms need confirmation; a comparison sheet or quote request does not itself confirm the event.
Procurement questions
Should an unstated charge be entered as zero?
No. Mark it as unstated and ask whether it is included, separate or outside the proposal. Use the supplier’s written answer before comparing totals.
Can two quotes with the same balloon total be treated as equivalent?
Check the grouping and display elements as well as the total. Bouquets, foil wording, weights, customisation and agreed services may differ even when the balloon count looks similar.
Does approving a quotation confirm building access?
No. Have the responsible workplace contact confirm the actual access and position arrangements, and agree them with the supplier separately from your internal purchasing decision.
